Confirmation

All registrants will receive a confirmation letter by e-mail, fax (if no e-mail is provided) or mail (if no e-mail or fax number is provided) confirming their enrollment within 48 hours of receipt of registration forms. You will receive one confirmation for registration and one for housing.

All refunds will be processed and mailed following the meeting. Refunds will be made in accordance with the following schedule:

  • Cancellations received on or before Monday, July 1, 2008, will receive a full refund
    less a $50 service fee.
      
  • Cancellations received between Tuesday, July 1, 2008 and Tuesday, August 26, 2008
    will receive a full refund less a $100 service fee.
      
  • No refunds will be granted if received on or after Wednesday, August 27,
    2008.

International Travel Information

Conference attendees traveling to Boston, Massachusetts, from countries requiring visas in addition to a passport, should take advantage of this opportunity to register and make hotel and travel arrangements early. After registering for the conference, you will receive a confirmation notice that can serve as documentation to be submitted with your visa application. Registration will open in Spring 2008.

Should you require a letter of invitation, please call (847) 378-0529 or e-mail meetings@aans.org to request a personalized letter or you may download a general Letter of Invitation. Be sure to plan ahead and allow two to three months for visa processing to ensure that you don’t miss the opportunity to attend this conference in the United States. The letter of invitation does not financially obligate the Conference organizers in anyway. All expenses incurred in relation to the Conference are the sole responsibility of the attendee.

For further guidelines, please visit www.unitedstatesvisas.gov. Conference attendees traveling to Boston, Massachusetts, from Canada, Mexico or Bermuda by air, land or sea will be required to present your country’s passport.


Visa Waiver Program

All Visa Waiver Program travelers, regardless of age or type of passport used, must present machine-readable passports. In addition, depending on when Visa Waiver Program travelers’ passports were issued, other passport requirements will apply:

  • Machine-readable passports issued before 10/25/05 – no further requirements
      
  • Machine-readable passports issued between 10/26/05 and 10/25/06 – requires digital photograph printed on the data page or integrated chip with information from the data page
      
  • Machine-readable passports issued on or after 10/26/06 – requires integrated chip with information from the data page (e-passport).


Tips for Successful Visa Applications

Visa applicants are expected to provide evidence that they are intending to return to their country of residence. Therefore, applicants should provide proof of "binding" or sufficient ties to their home country or permanent residence abroad. This may include documentation of the following:

  • Family ties in home country or country of legal permanent residence
  • Property ownership
  • Bank accounts
  • Employment contract or statement from employer stating that the position will continue when the employee returns

Visa applications are more likely to be successful if done in a visitor’s home country than in a third country.

  • Applicants should present their entire trip itinerary, including travel to any countries other than the United States, at the time of their visa application.
      
  • Include a Letter of Invitation from the meeting organizer or the U.S. host, specifying the subject, location and dates of the activity.
      
  • Provide specifics on how travel and local expenses will be covered.
      
  • If travel plans will depend on early approval of the visa application, specify this at the time of the application.
      
  • Provide proof of professional scientific and/or educational status (students should provide a university transcript).
